The opportunity:
The PA and Secretarial team provide support to the London Market division within Markel International (450 people across London, APAC and the USA). The Team Secretary will play a key role in supporting the Claim division (80%) and Ops (20%) by providing comprehensive administrative assistance, ensuring smooth day-to-day operations, and offering direct support to the Personal Assistant and wider team as needed. The Claims division consists of approximately 90 people across 3 core teams, with plans for growth. The division works closely with Markel colleagues worldwide.
What you’ll be doing:
- Arranging travel including flights, accommodation, transfers and visas
- Processing expenses and invoices
- Arranging team events including sending invitations, monitoring RSVPs and booking venues
- Arranging outlook meetings, booking meeting rooms and requesting catering when required
- Arranging team training and keeping an up-to-date training record
- Circulating monthly and quarterly regulatory emails and monitoring responses
- Collating and PDF report papers following monthly team meetings
- Purchasing merchandise, gifts and coordinating baby/leaving cards etc.
- Keeping records up to date such as staff lists, organisational charts, travel spreadsheets and expenses spreadsheets.
- Provide general day-to-day administrative duties and other ad hoc tasks
- Attend meetings to take minutes and actions
Our must-haves:
- Experience in a similar administration or secretarial role, ideally within corporate.
- Strong written and verbal communication skills with outstanding attention to detail.
- Excellent organisational and time management skills with the ability to work effectively across a number of simultaneous activities and with a wide range of stakeholders
- IT skills including MS Office, and the ability to develop a full understanding of in-house systems
- Proactive approach
- Coordinate with other PAs and Team Secretaries to ensure consistent support across the wider London Market division, finding efficiencies by working together.
- Keep up to date with technology and be an early adopter / change champion for new systems e.g. Appspace seat booking platform
- Contribute to monthly reporting requirements for the PA and Secretary team. As well as attend bi-weekly PA/Sec meetings.
