Based out of our Dublin Docklands office, Howden Ireland are delighted to have a vacancy for a Senior Administration Executive who will be an integral part of our wider Financial Advisory team.
We are seeking a detail-oriented and proactive Administration Executive to join our Advisory Department, with a focus on Life & Pensions and will report directly to the Head of Operations – Advisory. This role is vital to the smooth running of client and adviser support functions.
About the role
The role will sit within the administration team and will provide full support to the inhouse Financial Planning Advisor team in all administration matters for both new business and management of existing clients. The successful candidate will manage the end-to-end administration process associated with life, pensions, and protection products, ensuring a high standard of service delivery, compliance, and efficiency.
Key Responsibilities
- Provide Administration and Sales Support to a team of Financial Planning Advisors including preparation of documentation, management of existing client database, dealing directly with client queries, new business submission, quality control and checking, pipeline management and commission management oversight.
- Daily liaison with Product Providers in relation to new business and existing client queries across investment, pension and protection product lines.
- Monitoring and oversight of Product Provider service levels to ensure optimal service delivery to Howden and its clients.
- General administration duties including filing, opening post (physical and virtual), managing incoming phone calls, emails and other tasks as assigned by their manager.
- Adhere to compliance and Howden business procedures as outlined by the business including proper utilisation of tools, systems and templates provided to ensure optimal service is delivered in the most efficient manner
- Oversee the full lifecycle of policy administration for life, pensions, and protection products.
- Act as a key liaison with product providers, managing queries and ensuring timely processing of new business, alterations, withdrawals, and policy servicing.
- Ensure accurate and compliant documentation handling, both physically and through digital platforms.
- Proactively support annual reviews, renewals, and client communications, ensuring deadlines are met.
- Provide senior-level administrative support to financial advisers and the Head of Operations, including preparation of policy comparisons, client reports, and bespoke documentation.
- Supervise or mentor junior administrative staff, promoting best practices and operational efficiency.
- Maintain and update CRM systems and internal platforms with high data accuracy.
- Produce reports on pipeline progress, completed business, and outstanding requirements.
- Ensure all processes adhere to Central Bank of Ireland (CBI) regulations, GDPR, and internal compliance protocols.
- Conduct regular quality control checks and support audit preparation or file reviews.
- Identify and escalate risks or compliance concerns where necessary.
- Contribute to continuous improvement of administration workflows, document templates, and client communications.
- Support the Head of Operations in developing standard operating procedures and departmental efficiencies.
- Act as a key point of contact for resolving administrative issues or complex policy cases.
About You
- Extremely well organised with excellent time management skills.
- Ability to work on own initiative and as part of growing team, meet deadlines and work under pressure in a busy environment.
- Aptitude for learning involves specifically working towards an industry qualification over a specified period.
- A minimum of 2 years previous experience working in an administrative role in the Life & Pensions industry is preferred
- Familiarity with Life & Pension broking platforms, provider systems, portals and products is essential
- Possesses a strong attention to detail and be good at multi-tasking.
- Excellent Communications and Customer Service Skills
- Customer focused and driven, with a strong sense of curiosity and a relentless concentration on continuous improvement
