This position will provide supplemental support to fill in for the New York, Summit and Red Bank office when the associate in these locations is out of the office. Work hours will be scheduled on an as-needed basis. This position is responsible for handling the distribution of paper and electronic mail and packages in a way which allows associates and customers to have timely access to business documents and increase their ability to fulfill clients’ expectations. Ensure incoming mail items and office supplies are distributed to intended recipients/destinations, and facilitate outgoing mail delivery in order to expedite completion of business functions. Responsible for scanning, auditing and purging files.
Job Responsibilities
- Scan, audit and purge files according to the Markel retention policy. Research Iron Mountain portal for requested policies/files as requested. Scan incoming faxes to proper queues, scan incoming claims and underwriting mail, sort and deliver incoming mail, process outgoing mail, and print online UPS labels for overnight mail deliveries. Review existing processes and recommend improvements or enhancements for greater efficiencies.
- Proactively requisition office, break room and facility supplies in order to prevent interruption to work flow. Assist with salon/conference room requests (arrange seating, tables, cleanup, etc.) and prepare workstations for new hires. Monitor and process EasyVista tickets. Regularly check all assigned buildings for facilities issues (i.e. lighting, cleaning, carpet, etc.).
- Oversee reception area, ensure visitors are made to feel welcome, properly announce visitors with appointments to the appropriate individual in a timely manner and actively look for ways to help callers and convey information effectively.
- Support department and organization by being cross trained in additional job duties and be willing to provide backup to fellow associates when business needs dictate.
- In some locations provide administrative support for the office, including ordering lunch for meetings, conference room bookings and meeting requests, and travel information. In some locations manage corporate housing units for travel guests, including condo bookings, housekeeping, maintenance, accounts payable, supply stock, and transportation.
Education
- High school graduate/equivalent
- Some college preferred
Requirements:
- For this reduced part time role, the candidate must have prior work experience in Markel's Workplace Resources Team
- Availability to travel as needed between Markel's Red Bank, Summit, and New York offices
- 1-2 years office or related experience
- Insurance experience preferred
- Strong customer service skills
- Strong verbal and written communication skills
- Basic proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong team player and self-starter who can work independently with little direction
- Good organizational skills and the ability to manage multiple projects at once
- Flexibility and attention to detail

Pay information:
Job level is commensurate with experience, specialized skills relevant to the role, and possession of the outlined preferred qualifications. Markel reserves the right to propose an alternative career level based on these factors. Base salary offered for the successful candidate will be based on compensable factors, such as job-relevant education, job-relevant experience, training, licensure, demonstrated competencies, geographic location, and other factors. The national average salary for the Workplace Resources Associate position is $17.44 - $23.97.
