Job Description
The Administrative Assistant will provide comprehensive administrative support to the New York Commercial Insurance Regional Leadership. This role involves managing daily operations, supporting special projects, and ensuring the team functions efficiently.
Key Responsibilities
- Proactively manage calendars, including scheduling and coordinating appointments and meetings
- Answer and screen phone calls and emails, ensuring timely and professional responses
- Organize meeting logistics, including preparing agendas, materials, and minutes as needed
- Coordinate travel arrangements: prepare detailed itineraries, book commercial flights, arrange dining and ground transportation, and process travel documentation
- Prepare and process expense reports accurately and promptly
- Draft correspondence, reports, and presentation materials
- Assist with the preparation of presentations and documents for internal and external use
- Coordinate and manage special projects as assigned
- Order and maintain office supplies and equipment to support team operations
Qualifications
- 3–5 years of prior experience in an administrative support role preferred
- High school diploma or equivalent required
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel)
- Exceptional organizational skills with the ability to manage multiple projects simultaneously
- Strong oral and written communication skills
- Demonstrated ability to handle confidential information with discretion
- Professionalism, dependability, and the ability to work effectively in a fast-paced environment
- Ability to interact confidently with senior management and external partners
The pay range for the role is $51,900 to $88,100. The specific offer will depend on an applicant’s skills and other factors.
