Join our team! Successful and growing title insurance agency seeks a highly self-motivated, detail-oriented, and experienced HR Assistant/Coordinator with a positive attitude to be a part of our team. The HR Assistant/Coordinator will support the Chief Administrative Officer and serve as a point of contact for employees, managers, and leadership on daily HR operations.
Responsibilities:
- Assist with new hire onboarding, including coordinating onboarding activities, ordering and preparing equipment, coordinating with IT to ensure timely system access and equipment setup, preparing onboarding materials, and supporting related administrative processes.
- Assist with employee offboarding, including coordinating separation activities, working with IT to recover equipment and deactivate system access, processing required documentation, and supporting related administrative procedures.
- Conduct periodic audits of employee personnel files to ensure all required documentation is complete, accurate, and properly maintained.
- Assist in drafting, updating, and maintaining job descriptions, offer letters, and other employment-related documents.
- Support the recruitment process by scheduling interviews and coordinating communications with applicants and hiring managers.
- Partner with managers to support employee onboarding, internal role changes, and offboarding processes while ensuring compliance with company procedures.
- Support initiatives that enhance company culture, including employee engagement events and recognition programs
- Serve as a backup to the Receptionist by providing coverage as needed and performing all front desk and reception responsibilities, including greeting visitors, answering and directing phone calls, managing incoming and outgoing mail, and supporting general administrative operations.
- Provide general office support by ordering and maintaining office supplies, assisting with day-to-day administrative and office operations, coordinating office needs, and performing a variety of clerical duties to ensure the office runs efficiently.
- Coordinate and support office facilities needs, including maintenance requests, repairs, office improvements, vendor scheduling, and ensuring a safe, functional, and well-maintained work environment.
- Other duties as assigned
Requirements:
- 3–5+ years of relevant administrative, human resources, or office management experience preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Excellent time management and organizational skills with the ability to prioritize competing responsibilities.
- Experience working with HRIS platforms
- Excellent organizational, interpersonal, and written and verbal communication skills, with strong critical thinking and creative problem-solving skills.
- Demonstrated ability to manage multiple priorities in a fast-paced environment while maintaining a high level of confidentiality, accuracy, and professionalism.
- Strong work ethic with the ability to work independently as well as collaboratively in a team environment.
- Detail-oriented and professional, with the ability to handle sensitive and confidential information with discretion.
- High level of accountability, reliability, and follow-through.
- Customer service focused with a positive, solutions-oriented approach.
- Ability to thrive in a fast-paced environment while managing multiple tasks and deadlines effectively.

The annual base salary for this position is $65 - $80.
