The
Leave of Absence Administrator is responsible for working directly with the human resources team to support employees with their leaves and accommodation requests.
ESSENTIAL DUTIES AND RESPONSIBILITIES: The items listed below detail some of the assigned duties and responsibilities for this position. This is not meant to be an all-inclusive list and management reserves the right to change these duties at any time.
Leave Administration
- Administer and track all types of leaves including FMLA (continuous and intermittent), short- and long-term disability, parental leave, military leave, and other statutory or company-sponsored leaves
- Coordinate with third-party vendors such as The Hartford for claims processing and documentation
- Maintain accurate records of leave status, return-to-work dates, and ensure timely communication with employees and managers
- Complete calculations for Short Term Disability payments in partnership with Payroll Team
Accommodations Coordination
- Facilitate the interactive process under the ADA, including intake, documentation, and coordination with HR and legal teams
- Evaluate accommodation requests and collaborate with stakeholders to determine reasonable solutions that support both employee needs and business operations
- Monitor ongoing accommodations and ensure re-evaluation when appropriate
Compliance & Documentation
- Ensure compliance with FMLA, ADA, and applicable state laws
- Maintain confidentiality and proper documentation of all leave and accommodation cases
- Utilize ServiceNow ticket system to track all requests and run reports as needed for data/analytics support for LOA
- Provide guidance to managers on issue spotting and initiating the accommodation process
Employee & Manager Support
- Serve as the primary point of contact for employees navigating leave or accommodation requests
- Educate managers on their responsibilities and available resources
- Respond to inquiries and provide clear, empathetic communication throughout the process
- Main point of contact for HR Managers for leaves and accommodations and partners with HR for complex leave situations
- Serve as liaison between LOA vendors and employees in researching claims and, resolving claim issues while partnering with our LOA vendors to improve processes
- Establish and maintain effective working relationships and partnerships across all business units
- Ensure compliance with HR related legal and regulatory guidelines

Education And Experience
- Bachelor’s degree in Human Resources, Business or related field or equivalent education and related training
- 2-4 years of experience in leave of absence and disability
- Proficiency in state/federal regulations and claims processes
- Strong analytical and research skills
- Proficiency in Word and Excel
- Familiarity with Human Resource Information Systems (HRIS)

- Passion for assisting employees and HR team members
- Concise written and verbal communication skills required
- Must possess proven judgment, decision-making skills, and the ability to analyze
