Provides administrative support for department and management including, but not limited to, preparing, revising, and developing documents; maintaining and/or monitoring calendars, files, e-mails, deadlines and appointments; making travel arrangements; procuring supplies and processing invoices; coordinating meetings; acting as a liaison to other departments; and completing assigned projects.
Essential Functions:
- Coordinates activities, including management of the supervisor’s calendar, requesting access to him/her based on an in-depth understanding of the supervisor’s priorities and needs, and his/her role within the Company framework.
- Respond to inquiries, and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
- Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.
- Compose correspondence; develop, review, and edit presentations and documentation; research and analyze associated issues and/or compile materials needed for presentation and/or decision making purposes.
- Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel.
- Maintain office supplies and equipment; obtain vendor quotations, as needed. Coordinate office moves.
- Prioritizes, plans, coordinates, and/or oversees logistics for meetings and conferences with individuals and entities internal and external to the Company.
- Serve as the supervisor’s liaison to various internal and external constituencies including screening correspondence and telephone calls. Keeps the supervisor informed of all matters requiring his/her attention.
- Oversees and/or manages multiple projects; anticipate and track critical dates, events, and organizational issues for the executive; follow up with appropriate parties to ensure deadlines are met.
- Organizes and maintains the workings of the supervisor’s office. Take responsibility for filing systems and ensuring all pertinent information and supporting materials are retained.
- Acts on behalf of the supervisor in regards to establishing priorities and identifying and resolving problems.
- Compose and draft documents and correspondence for presentations, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various documents, displays, reports, brochures, social media, and/or websites.
- Create complex reports, spreadsheets, and charts which may utilize specialized software and systems.
- Oversees and/or processes a variety of financial transactions; reporting expenses of supervisor, departmental budget items, monitors office supplies and reconciles with budget, research, identify, and resolve discrepancies when necessary.
- Communicates with staff on behalf of supervisor regarding day-to-day work assignments and deadlines which are to be met.

Education/Experience:
- Bachelor’s degree and seven years of relevant senior administrative experience, or an equivalent combination of education and relevant experience.
