Position Overview:
Reporting to the Executive Assistant in our NYC office, the Front Office Administrative Assistant is responsible for ensuring the smooth and efficient operation of the office, administrative functions, managing facilities, and providing exceptional support to the various agency partners in the NYC office. This role involves a blend of administrative assistance, facilities management, and onboarding responsibilities. The ideal candidate will be organized, proactive, capable of multitasking in a dynamic environment possess organizational skills, a professional demeanor, and a commitment to upholding the highest standards of confidentiality and discretion.
Essential Duties and Responsibilities:
Front Office Management
- Serve as point of contact for internal and external visitors, including registering them with security, providing advice regarding travel and nearby hotels/restaurants, and helping with other requests.
- Greet and welcome all visitors in a friendly, professional manner. Direct them to the appropriate conference room or office.
- Foster a positive and professional office environment.
- Maintain a clean and organized front desk area
Office Administration
- Oversee conference room reservations: reserve meeting space by using Outlook for conference booking, noting all details including technology, A/V, catering, supplies, and other support needs.
- Ensure conference rooms are equipped with necessary materials and arranged appropriately. Help to set-up and break-down meeting spaces including arranging chairs/furniture, providing refreshments, and clean-up afterwards. Regularly check that conference room equipment works and liaise with IT if needed.
- Maintain a distribution list in Outlook of all NY office employees and communicate to the list as needed, such as by promptly passing along communications from building management.
- Support events such as the annual Employee Appreciation Day, Board meetings, executive visits, etc.
- Assist with new hire onboarding – ID Badge, IT/desk set up, seating arrangements, introductions to office staff, etc.
- Order & maintain stock of new hire swag
Facilities Support
- Manage the ordering, receiving, stocking, and distribution of all office and kitchen supplies, maintaining a clean, orderly, and well-stocked office.
- Check that office equipment is properly functional, such as coffee makers and copiers, and liaise with vendors for repairs.
- Manage incoming/outgoing mail, deliveries, food orders / catering, etc., including sorting and promptly distributing to relevant departments or personnel.
- Report and oversee resolution of any maintenance issues with building management or external vendors.
- Oversee contractors and vendors who need physical access to the office, including possibly before or after regular hours.
- Implement and manage office safety protocols and emergency procedures in conjunction with building management
- Handle office relocations and set up workstations as needed
Executive support
- Provide coverage for the office's executive assistant during absences and help train temporary staff to cover during your vacations/absences.
- Expenses reports for CEO.
Position Requirements:
Competencies and experience
- Minimum of 3 years of front office and/or administrative assistant experience
- Strong administrative skills with excellent attention to detail and a high level of accuracy
- Proficient in Microsoft Office (esp. Outlook)
- Ability to work autonomously and take ownership, to prioritize a busy and varied workload for a number of different stakeholders at any one time
- Strong organizational, planning and communication skills, both written and verbal, including fluency in English.
- Ability to take ownership and responsibility for tasks, with enthusiasm and drive
- Comfortable and capable of communicating with all levels of people within and outside the business both written and verbally with a high level of professionalism
- Maintain strict levels of confidentiality and exercise discretion at all time
- Confident and professional manner
- Effective team player, with a can-do and collaborative attitude
Education
