JOB DESCRIPTION
We are seeking a highly accomplished Personal Assistant to provide first-class support to a small number of UK Executive Committee members. This role requires a polished, proactive, and resourceful individual who thrives in a fast-paced, high-pressure environment and is passionate about providing excellent PA support at the highest level.
You will play a critical role to ensuring the UK Exco members diary and requirements for admin support are fully supported to enable them to have a smooth running day. You will handle very busy diaries and will help anticipate needs with precision. This role demands discretion, strong attention to detail, and the ability to perform under pressure while maintaining a calm and professional demeanour at all times
Responsibilities Will Include
- PA Support: Provide seamless, high-level PA support including management of very busy diaries, handling telephone screening / gatekeeping, booking meeting rooms and catering for internal / external meetings, coordinating meetings and displaying strong attention to detail
- Meeting Coordination: Provide key support with preparation for committee / board meetings, presentations, ensuring all materials are accurate and distributed in advance and in an organised fashion
- Travel Bookings: Seamlessly and accurately book all travel requirements including hotel bookings, transfers etc.
- Relationship Management: Provide solid and trustworthy PA support to the Executives via a positive and professional working relationship. Act as a first point of contact representing the firm with professionalism and discretion at all times.
- Expense & Financial Administration: Prepare and process expenses, invoices, and corporate card reconciliations with accuracy and timeliness.
- Confidentiality & Discretion: Handle sensitive information with the highest level of integrity and profession at all times.
- Ad-hoc Projects: Provide positive contributions to ad-hoc projects as and when needed.
Skills And Experience
- Stakeholder Engagement: Clearly understand stakeholder business priorities and requirements and has demonstrable experience supporting senior executives within the insurance or financial services sector. Builds positive and trusted working relationships with all key stakeholders.
