Description
CFC are seeking a highly skilled and dependable Executive Assistant to support our C-Suite executives here at CFC. This role is critical in ensuring smooth operations within the Operational function and involves managing and prioritizing their time and tasks. The right candidate for this position will have experience supporting C-Suite stakeholders in a growing global organisation.
Key Responsibilities
This role will involve complex diary management, ensuring effective planning, no scheduling conflicts, and consideration of current priorities and focus time. Other responsibilities will include but are not limited to:
- Full coordination of meeting scheduling, ensuring preparation time for meetings, creation of team meeting agendas, taking minutes, and following up on action points in a timely fashion.
- Liaising with team members, other executives, and all internal stakeholders to coordinate both in-person and virtual meetings.
- Vendor and partner management, coordinating and managing relationships with external vendors, consultants, and partners critical to operations.
- Assist in preparing and organizing board packs and papers, ensuring that all necessary documents are meticulously compiled and readily available for board meeting
- Management of travel, both domestic and international, including transport and accommodation.
- Full responsibility for preparation and submission of expense claims for C-suite executive’s using the Expense Management system (Concur) and reviewing team expense claims.
- Assisting in the preparation of team performance reviews, KPIs, and objective tracking.
- Creation of presentations using PowerPoint and other Microsoft Office packages, including board packs and papers, budget presentations, etc.
- Working closely with other executive EAs.
Skills, Knowledge and Expertise
- Previous experience supporting C-suite executives or senior HR leaders, with an understanding of the pressures and nuances of these roles.
- Experience working as part of a global team in a large international company is preferred.
- Dependable and able to handle all tasks with reliability and integrity, with experience handling sensitive information with discretion while maintaining the utmost confidentiality.
- Great executive presence, with the ability to interact with senior executives and board members with poise and confidence.
- Excellent written and verbal communication skills to prepare emails, presentations, and reports on behalf of the C-suite Executive
- Able to work at pace and effectively juggle competing priorities while maintaining a measured, calm approach.
- Strong critical thinking abilities, able to address challenges that arise with schedules, workloads, or project timelines.
- Positive outlook and strong relationship management skills.
- Relentless attention to detail and a high level of accuracy.
