The Role
As an Administrative Assistant to the Company Secretariat team, you will play a crucial role in ensuring the smooth functioning of corporate governance processes, legal compliance, and administration. Working closely with the Company Secretary and team members, you will provide comprehensive administrative support, manage documentation, and facilitate effective communication across various levels of the organisation. This position offers exposure to the intricacies of board operations, statutory obligations, and executive decision-making, making it ideal for individuals seeking a career at the intersection of administration and corporate governance.
Responsibilities
- Administrative Support: Provide day-to-day administrative assistance to the Company Secretariat team, including management of the shared Company Secretarial inbox and the Board calendar
- Board and Committee Meetings: Assist in the preparation and logistical management of Board and committee meetings, including uploading papers to the board management platform (Diligent Boards), room bookings, catering and audio-visual support
- Statutory Filings: Prepare and submit statutory filings to Companies House under the guidance of the Company Secretary and team members, including but not limited to Confirmation statements and annual accounts
- Corporate Information: Assist in the maintenance of the global entity management platform (Diligent Entities) to ensure details for Group subsidiaries are kept up to date
- Document Management: Maintain and update various registers, trackers, company policies under the guidance of the Company Secretary and Assistant Secretary. Assist with the execution of corporate documentations, such as resolutions, powers of attorney and proxies for routine business and organising, if required, for such documents to be notarised and/or apostilled
- Compliance Support: Assist in monitoring corporate compliance by tracking deadlines for statutory filings and assist with the completion of know your customer (“KYC”) requests, statutory and regulatory forms, etc, with support from the Company Secretary Assistant
- Confidentiality: Handle sensitive information with discretion and uphold strict confidentiality at all times
- Process Improvement: Participate in the review and enhancement of administrative procedures to improve efficiency, compliance, and documentation standards within the Company Secretariat team
Skills And Experience
- Good experience of working in an administrative role
- Exposure to working with gov.uk portals or Company Secretarial software highly advantageous
- Strong written, communication and organisational skills, with good attention to detail and the ability to multitask.
- Excellent administration skills with proficiency in MS Office
- Excellent interpersonal skills are essential with the ability to communicate at all levels including with Executive and Non-Executive Directors, and senior management
- Adaptable and experienced working to strict deadlines
