Provides administrative support for department and management including, but not limited to, preparing, revising, and developing documents; maintaining and/or monitoring calendars, files, e-mails, deadlines and appointments; making travel arrangements; procuring supplies and processing invoices; coordinating meetings; acting as a liaison to other departments; and completing assigned projects.
Essential Functions:
- Composes and types routine correspondence. Reviews correspondence intended for review/signature for correct punctuation and grammar.
- Prepares and/or files correspondence and other records.
- Creates and develops presentations and agendas for meetings.
- Receives, sorts, opens, screens and distributes incoming mail, faxes, mailings and other correspondence. Maintains and secures confidential documents and other correspondence. May maintain client and/or special mailing lists.
- Performs routine purchasing and reconciliation activities for department, working within established guidelines.
- Collects/prepares and submits expenses; ensuring accuracy.
- Receives and notifies management of incoming telephone call, if applicable. Responds to caller inquiries and provides information or redirects caller when appropriate.
- Provides clerical and administrative support (such as maintaining office equipment, maintaining executive's office and supplies) for a department, multiple functions or a business unit.
- Coordinates staff meetings and various other appointments. Maintains the executive's daily calendar.
- Coordinates meetings and other special events. Coordinates travel/hotel arrangements for the team as well as for visitors.
- Assists the executive in daily coordination and/or communications with direct reports; Keeps the manager informed of the direct report's itinerary.
- Performs various routine department onboarding activities, including preparation of workspace.
- Other duties as assigned.
Knowledge/Skills/Abilities:
- Proficient in Microsoft Office Suite (Excel, Word, PTT).
- Excellent written, verbal and interpersonal communication skills with sensitivity to confidentiality.
- Ability to meet set deadlines.
- Able to prioritize multiple tasks with good time management skills.
Education/Experience:
- High School diploma required; Bachelor’s degree preferred.
- 1-3 years in prior administrative assistant role.
